Booking Policy

Definitions:

  • Client: The individual, company, or organisation hiring the studio, including all associated personnel.

  • Hire Period: The time the client occupies the studio, including when belongings remain after hours.

  • Cove One Studios / Studio: Any part of the premises, including grounds and surrounding areas.

Bookings:

  • Bookings are confirmed upon full payment unless otherwise agreed in writing.

  • Standard hours: 9 AM - 6 PM. Bookings outside these hours depends on availability and may incur extra charges.

  • Setup and pack-down must be within the booked time. Entry is allowed 15 minutes early. Clients must leave within 30 minutes post-booking. Overtime charges apply beyond this (arranged overtime at £50 per hour ex VAT, un-arranged overtime at £80 per hour ex VAT).

  • The Studio is available for the exclusive use of the Client named in the booking and the Client is not permitted to sub-contract, sub-let or otherwise permit any third party to utilise the Studio without the prior written consent of Cove One Studios.

  • Cancellations require 7 days’ notice for a full refund; cancellation fees apply (see below).

Insurance, Liability & Damages:

  • Cove One Studios has public liability insurance but is not responsible for Client equipment, damages caused by the Client, or accidents during the hire. 

  • Clients must have public liability insurance (£1M minimum) and employer’s liability insurance if applicable.

  • The Client shall alert Cove One Studios to any damage to the Studio and/or Equipment. The Client shall be responsible for any loss or damage to Studio and/or Equipment and loss of use, diminution of the Studio and/or Equipment’s value caused by damage to it or repair to it and missing equipment.

  • If hiring equipment from Cove One Studios or one of their partners, the Client should have an insurance policy in place for equipment hire. Day cover can be sourced from Performance Insurance. If the Client hires equipment from an equipment hire partner, they will contract directly with the partner and will be subject to their hire contract.

  • Cove One Studios shall have no liability to the Client for consequential losses which result from power cuts, external noise or other events or
    breakdowns which delay or prevent use of the Studio or any equipment hired from the Studio.

  • Cyclorama edges must not be used for walking on, jumping, skateboarding, or resting equipment.​

  • Equipment owned by the Studio should not be removed from the Studio without the written consent of Cove One Studios.

  • In the event of any paint or corrosive liquids being brought into the Studio, it is the responsibility of the hirer to protect the floor with coverings at all times. Any damage or cleaning resulting from their use will be the responsibility of the Client and a reasonable cleaning or repair charge levied in the event of damage.

  • No alterations, decorations or additions to the Studio are permitted without the consent of Cove One Studios. At the end of the Hire Period the Studio must be surrendered in the same condition that it was in at the start of the Hire Period. The Client shall pay any costs incurred by Cove One Studios arising out of any breach of this condition.

 

Health & Safety:

  • Clients are responsible for security, adhering to health and safety regulations, and preventing neighbourhood disturbances.

  • Any materials used in connection with sets constructed by the Client as well as any rubbish shall be removed from the Studio at the end of the Hire Period at the expense of the Client otherwise additional charges will apply.

  • The Client agrees not to leave our spaces unoccupied without notifying a member of staff and or ensuring the security of the Studio.

  • No smoking indoors. Fire exits must remain unobstructed. Use of open flames, fog machines, or pyrotechnics requires prior approval.

 

Access & Parking: 

  • On-street parking and drive-in access are available but at the Client’s risk. Equipment must be unloaded during standard hours.

  • In the unlikely case of road access problems beyond our control, the Studio cannot be held responsible for this, but we will do our best to help you find alternative arrangements.

 

Sound:

  • The Studio is not a sound stage and we do not claim to be fully soundproof. Whilst the Studio is reasonably quiet, and we have taken some measures to improve the acoustics, we suggest each production to do their own evaluations before booking the Studio – recces are more than welcome.

Animals & Children:

  • Animals require prior notice (except guide dogs). Children under 18 must be supervised.

 

Additional Charges:

  • All outstanding fees must be settled by the Client at the end of the hire. Overtime incurs hourly charges. A power levy of £80 applies if lighting exceeds 5 KW. All additional charges are payable within 30 days.

 

Cancellations:

  • 7+ days: No charge

  • 6 days: 30%

  • 5 days: 40%

  • 4 days: 50%

  • 3 days: 60%

  • 2 days: 75%

  • 1 day: 100%

 

Termination:

  • Cove One Studios may terminate bookings if terms are breached.
